Privacy Policy

Orion Coach, operated by Empire Grove LLC (“we,” “our,” or “us”), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Orion Coach mobile application and related services (collectively, the “Service”).

By using the Service, you agree to the collection and use of information in accordance with this policy.

Information you provide

• Account information: name, email address, password (stored as a secure hash)
• Profile information: date of birth, height, body weight, training experience level, injuries and limitations, fitness goals
• Workout data: exercises, sets, reps, weight used, notes, rest periods
• Feedback and support requests you submit

Health data (Apple HealthKit)

With your explicit permission, Orion Coach reads the following data types from Apple HealthKit:

• Heart rate variability (HRV SDNN)
• Resting heart rate
• Sleep analysis (duration and stages)
• Step count
• Active energy burned
• VO₂ max estimate

Orion Coach does not share HealthKit data with third parties, does not use HealthKit data for advertising, and does not sell HealthKit data. Health data is used solely to personalize your training recommendations within the app.

Automatically collected data

• Device type and operating system version
• App crash reports and error logs (via Sentry)
• Session timestamps and general usage patterns

We use your information to:

• Provide, operate, and improve the Service
• Generate personalized AI coaching recommendations
• Process subscription payments via Stripe
• Send transactional emails (workout summaries, weekly reviews)
• Respond to support requests
• Diagnose technical problems and improve reliability
• Comply with legal obligations

We do not use your information for behavioral advertising or sell it to third parties.

The in-app chat with Coach Orion sends your messages and a snapshot of your training context to Anthropic, our AI provider, to generate each response. The data sent on every chat turn includes:

• The chat message you typed and recent conversation history
• Your active training program (name, goal, current week)
• Your last 10 completed workout sessions, including exercises, weights, reps, and RIR
• Recent soreness reports (last 14 days) — only if soreness check-ins are enabled in your profile
• Body composition trend (last 30 days of weight and body-fat measurements)
• Personal records from the last 90 days

Anthropic processes this data under their commercial terms and does not use customer data to train their models. We do not send chat messages or training data to any other third parties for AI processing.

You can clear your conversation history at any time from the Coach Orion chat screen. You can also disable soreness check-ins from Profile → Coaching, which excludes soreness data from the chat context.

We share limited data only with service providers necessary to operate the Service:

• Supabase / PostgreSQL — database hosting (EU/US)
• Stripe — payment processing (does not receive health data)
• Resend — transactional email delivery
• Cloudflare R2 — file storage (profile images)
• Sentry — error reporting (crash data; does not receive health data)
• Railway — application hosting

All service providers are contractually bound to protect your data and prohibited from using it for their own purposes.

We retain your account data for as long as your account is active. When you delete your account, your data is soft-deleted immediately (you cannot log in) and permanently removed from our systems within 30 days. Aggregated, de-identified data may be retained indefinitely.

You may request deletion of your account at any time from the Profile screen within the app, or by contacting us at support@empiregrovelabs.com.

We implement industry-standard safeguards including TLS encryption in transit, hashed passwords, and access controls. No method of electronic storage or transmission is 100% secure; we cannot guarantee absolute security.

The Service is not directed to children under 13 (or 16 in the EU). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it promptly.

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Object to or restrict certain processing
• Data portability (receive your data in a machine-readable format)

The Service integrates with Garmin Connect and Apple HealthKit. Your use of those services is governed by their respective privacy policies. Orion Coach is not responsible for the privacy practices of third-party services.

We may update this Privacy Policy periodically. We will notify you of material changes by posting the new policy in the app and updating the “Last updated” date. Continued use of the Service after changes constitutes acceptance of the revised policy.
